Job Title: Office Administrator- Human Resources

Job Summary:

The Office Administrator in HR ensures the efficient functioning of the office, supports HR functions, and maintains a productive work environment. This role combines office management duties with HR responsibilities, requiring strong organizational, communication, and administrative skills.

Key Responsibilities:

Office Management:

  • Manage day-to-day office operations, ensuring a clean, organized, and functional workspace.
  • Coordinate office maintenance, repairs, and housekeeping services.
  • Oversee office supply inventory, ordering, and vendor management.
  • Ensure compliance with office health and safety regulations.
  • Handle mail distribution, scheduling meetings, and managing office equipment.
  • Assist with the organization of company events, meetings, and activities.

Human Resources Support:

  • Assist with the recruitment process by scheduling interviews and coordinating onboarding activities.
  • Help facilitate the new hire orientation process and ensure employees are properly trained in office protocols.
  • Assist in the implementation of HR policies, procedures, and employee engagement initiatives.
  • Serve as a point of contact for employees with office-related queries or concerns.
  • Ensure the confidentiality of HR documents and sensitive employee information.

Personal Assistant Duties:

  • Provide direct administrative support to senior management (e.g., CEO, COO), managing calendars, scheduling meetings, and setting appointments.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Handle correspondence on behalf of senior executives, including drafting emails, letters, and managing phone calls.
  • Prepare presentations, reports, and other documentation as requested.
  • Organize and prioritize incoming information, managing competing priorities for senior management.
  • Assist with personal tasks and errands as needed, such as managing personal appointments or organizing events.

Administrative Duties:

  • Prepare and process HR-related documents such as offer letters, contracts, and performance reports.
  • Manage internal and external communication on behalf of the HR department.
  • Handle travel arrangements and reimbursements for employees when necessary.
  • Compile data and generate reports as needed for management or HR functions.

Qualifications:

  • Experience: Prior experience in office management and/or HR support roles is highly desired.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in office software (e.g., Microsoft Office, HRIS systems).
    • Ability to maintain confidentiality and professionalism.
